Challenges

Prior to the implementation of PeoplePLAN, ib vogt’s workforce planning was based on manually maintained Excel spreadsheets. This approach was time-consuming, error-prone and made it difficult to track changes. The integration of data from the existing HR platform Personio was particularly problematic, as there was no seamless data flow. This led to inefficiencies in budget planning and prevented the company from making flexible and data-based decisions in real time – a crucial factor in the dynamic solar energy industry.

Solution

In order to make workforce planning more efficient and transparent, ib vogt decided to introduce PeoplePLAN, a SaaS solution that was connected directly to the existing Personio system. The integration enabled a seamless data flow between the two systems. This enabled the automatic transfer of HR master data and salary information, eliminating manual entries and sources of error.

A central component of the solution was the introduction of a web-based personnel action planner, which enabled precise, employee-focused planning of capacities and costs. The intuitive user interface of PeoplePLAN was specially adapted to the needs of those responsible for planning, thus minimizing training costs and increasing acceptance. In addition, the integrated reporting functionality makes it possible to compare scenarios and make informed decisions based on current data.

Thanks to the automated real-time calculation of headcount, FTE and personnel costs, IB Vogt was able to achieve a high level of planning accuracy. At the same time, the entire process was standardized through the use of predefined control parameters, which further increased efficiency.
